LWVUS has reserved a limited number of meeting rooms at the Hyatt Regency for local and state Leagues to sponsor caucuses during the 2020 Convention. If you are considering sponsoring a caucus that fosters members’ learning and action, please read these instructions and criteria before you use the online form to submit an application.
Basics
The following blocks of time are currently reserved for caucuses. Please note these times will also be used for necessary workshops and Q&As conducted by the national board, staff, and our partners. Leagues are welcome to request a block but no request will be automatically granted and depending on the number of applications received not all applications will be approved.
- Morning of Friday, June 26
- Late Afternoon/Early Evening of Friday, June 26
- Morning of Saturday, June 27
- Morning of Sunday, June 28 (tentative and dependent on number of applications received)
The caucus schedule will depend on a number of factors that include but aren't limited to relevance of topic and how it relates to our program work and relation to Convention theme. The 2020 Convention will focus on celebrating our 100th Anniversary with a celebratory and forward thinking approach and through an intentional Diversity, Equity and Inclusion lens.
The caucus blocks will be 1 hour in length. Presenters will be able to access their room 30 minutes prior to the start of their presentation. If additional set up time is needed the LWVUS event staff will need to be notified.
We have a total of 10 rooms reserved for each block that range in size. The default set up will be theater style with a presenter table and podium in the front. A presenter microphone will be added to any room that seats over 70 attendees. No other A/V will be included without approval from LWVUS. We ask that all caucus applicants carefully consider what A/V is necessary for the success of their caucus as there are additional costs involved and Leagues may be asked to contribute to those costs.
It is recommended and preferred that all caucus presenters be LWV members and registered attendees of the Convention. If a non-member presenter is required for the success of the caucus please state why and what their affiliation is on your application. All non-member presenters require final approval by the LWVUS president in order to participate in the caucus. Non-member presenters and LWV members presenters who are only attending their caucus will not be permitted to attend any other Convention sessions.
If applications are received from multiple Leagues on identical or similar content, the Leagues may be asked to combine their efforts into one offering.
Criteria for Applying
Convention evaluations have taught us that successful caucuses engage League members in topical and timely learning relevant to all League members and include takeaways for application and action. Caucus applications for the 2020 Convention will be carefully considered through a lens of how they move our work forward and how relevant they are to a wide variety of League members.
As you answer the application be clear in describing how:
- the topic is current and relevant to Campaign for Making Democracy Work®
- the presenters are knowledgeable and experienced at engaging participants
- the attendees will receive specific and actionable takeaways
SUbmission and Notification Deadlines
Please use the online form to submit your application by March 2, 2020. Faxed, mailed, and emailed forms will not be accepted.
All decisions on caucus space will be made by March 13, 2020 and League contacts will be notified by email.
